It’s entirely possible to run a good business on a system that ‘does the job’. Many timber traders do. It works. The team knows it. And day to day, it gets you through. But there are usually a few niggles – things that take a bit longer than they should, workarounds you’ve developed, or situations where you rely on someone knowing how to do certain things. Individually, you can live with them. Over time, they tend to add up.
When the system doesn’t quite fit
That’s where the gaps start to show in how you actually work. Most systems will cover the basics. What tends to separate them is how naturally they handle the detail – the industry specifics – things like working across different units of measure, tracking timber by pack or batch, or managing processed and treated timber alongside standard lines. If those aren’t handled cleanly, they tend to create small bits of friction across your day.
Stock confidence
Stock is often where inefficiencies are felt most, day to day. “We never really know what we’ve got” is something we hear a lot. Not because people aren’t doing their jobs – but because no one’s completely sure what the system is telling them.
So it shows up in small ways. “Hang on, let me check.” Walking the yard. Double-checking before committing.
And that’s where it starts to have an impact – on how quickly you can respond and the confidence you have in your answers.
At the trade counter
You see it straight away when a customer is standing in front of you. Speed matters, but so does accuracy. Pricing, availability, alternatives – it all needs to come together quickly, without slowing the conversation down. If it doesn’t, it shows up in small delays and starts to shape how your customer experiences your business.
Out on the road
You see it here as well. Planning deliveries across spreadsheets, managing multiple vehicles, trying to keep track of what’s gone out and what hasn’t – it can quickly become hard to stay on top of. Changes happen. Orders move. Drivers call in. And without a clear view, it turns into a lot of back-and-forth just to keep things running. It’s all manageable – but noticeably easier when everything is connected and visible in one place.
Seeing the numbers
You have loads of data – it’s just not easy to find what you’re looking for or get it in a format you can use. Spreadsheets, reports, different versions of the same numbers. By the time you find what you need, it’s already out of date. That slows decisions down more than it should – and makes it harder to trust what you’re looking at.
Best solution?
There isn’t a single ‘best’ system for every timber trader. But the better ones tend to handle industry detail well, reduce day-to-day friction, and give you confidence in the numbers you’re working from.
And that’s usually what separates something that simply works… from something that really helps.
If things feel harder than they should – or your team has adapted around your system – it’s worth asking why.
